Portfolio Submission

The following regulations apply to students submitting written portfolios:

1)    Students should submit written portfolios only during the first month of the Fall and Spring semesters

In the Fall semester --- only between September 1 and October 1.

In the Spring semester --- only between January 15 and February 15.

These dates allow the faculty ample time to perform their evaluations. Portfolios are not processed during the summer as faculty are generally not available for portfolio assessment.

2)    Portfolios are submitted to the Regents Office and must be accompanied by the portfolio fee. Portfolios are never sent until the portfolio fee is paid. Students should never send a portfolio directly to a department. Portfolios are sent out by the Regents Office accompanied by the appropriate evaluation forms.

3)    Prior to writing any portfolios, students are urged to consult with the Director about what credits to request and from which departments and/or institutions. Before submitting portfolios for evaluation, students should submit drafts to the Regents Director. These drafts do not have to be in perfect form, but the narratives should be complete and the nature of the documentation clear. Drafts allow spotting problems while students are in the early stages of the writing process.

4)    Portfolio writers must adhere to all published regulations of the State Regents Program and instructions put out by the WVU Regents Office. These include the WVU Departmental Guidelines provided by the WVU Regents Office. Students should be aware that portfolios that do not meet such regulations and guidelines will not be sent out.

5)    Students should not expect to graduate within the same semester in which their portfolios are submitted for evaluation. There are three official graduations each year--May, August, and December. A student whose evaluation is not completed in time for one graduation should reapply to be placed on the next list for the next graduation. It is not possible to graduate without filling out a graduation application for a particular graduation.

6)    Students who are waiting for the results of faculty evaluations should not attempt to contact the department or faculty who are involved in the evaluations, whether at WVU or elsewhere. The Regents Office will follow up on portfolios for you. If a personal interview is desired by the evaluators, it will be arranged through WVU's Regents B.A. Director.

7)    Ordinarily, portfolios that have received a negative (or partial credit) evaluation may not later be sent to a different WVU department or to a different college in the State System. If a student is not satisfied with the evaluation received, he or she may carry out suggested revisions and resubmit the portfolio to the same department again.

8)     WVU portfolio writers must apply for WVU course credit in all cases where WVU offers the course. For example, WVU students may not request credit for Fairmont State's accounting courses, because WVU has its own Department of Accounting. This is a State regulation. Students may not apply for portfolio credit in courses that already appear on their transcripts. "Double-dipping" for credit is not permitted, but partial credit may be awarded from multiple departments.
